Manager, Program Operations (Program Operations Manager / POM)

CIEE Tokyo (Council on International Educational Exchange)

Summary of Position:

The Manager, Program Operations (POM) is responsible for supporting the CIEE Tokyo Director and colleagues in preparing for, delivering, and evaluating CIEE study abroad programs in Japan. The POM will understand and apply CIEE policies related to academics, program quality, health safety and security, and other relevant areas to ensure programs are implemented smoothly and efficiently. This is a regular, full-time position with working hours 9:30am to 5:30pm with occasional evening, overnight, and weekend work.

Reports To: Center Director, CIEE Tokyo

Primary Responsibilities:

Support the Director and the CIEE Tokyo team to ensure successful delivery of study abroad programs in Japan. Manage key operational and academic processes.

  • Understand, communicate, and apply CIEE policies in areas including but not limited to:
    • Academics
    • Program Quality
    • Health, Safety, and Security
    • Finance
    • Technology / IT
  • Teach / lead / facilitate CIEE cultural courses, discussions, and/or workshops.
  • Understand and communicate CIEE academic policies to fellow staff, course instructors, and students.
  • Manage academic operational components of CIEE delivered programs and courses.
  • Help assess and liaise with CIEE course instructors. Help ensure adherence to CIEE academic policies. Assist in the recruitment of instructors.
  • Manage student academic information. This includes but is not limited to registration, course selection, grades, and reporting. Follow CIEE academic and privacy policies. Collaborate with relevant CIEE staff and local university officials.

· Collaborate with Program Coordinators to help maximize quality of services.

· Monitor schedules of CIEE program lines and staff. Collaborate with fellow staff to help ensure efficient scheduling.

· Plan and implement orientation sessions and activities. Lead orientation presentations and discussions.

· Lead students on activities and excursions, including weekend and overnight excursions

Other Duties

  • Assist the CIEE Tokyo Director with the general coordination and administration of CIEE programs
  • Cover Director roles as instructed during times when the Director is away or unavailable.
  • Liaise with outside organizations as needed.
  • Be an "on call" emergency contact as assigned
  • Other duties as required

Qualifications:

· Master's degree

· Must reside in or within a short commute to the Central 23 Wards of Tokyo.

· Prior experience working in higher education / international education programming, preferably with students from US institutions

· International work, study, and/or travel experience, preferably in the US and Japan

· Native level English. Communicates effectively and professionally.

· JLPT N2 level Japanese or demonstrated equivalent ability, or higher.

· Skilled in Microsoft Office (Word, Excel, PPT); comfortable with technology; can quickly learn new technologies and software applications.

· Strong intercultural communication skills. Places high value on diversity.

· Flexible, mature, and professional.

· Strong team-building and leadership skills.

Working Conditions

· This position may require overtime or off hour periods. Certain deadlines and unexpected emergencies may necessitate an adjustment in work time.

The POM has access to files and records containing personal information. This information must be managed with discretion in accordance with relevant laws and CIEE's policies regarding privacy and confidentiality.

Compensation

Dependent on qualifications and experience.
